Hi,
I am trying to set up a sheet, where I analyze and compare data within' a pivot table (on the left) with data extracted manually from a data source (on the right). Assume that the table on the right is a portfolio, and the table on the left is a stat overview of all possible positions. Column "S" is given as:
=IF(ISNA(MATCH(O7,$B$7:$B$119,0)),"", "MISA")
which basically lets me know if my position is on the list on the left, and column "A" similarly is given as:
=IF(ISNA(MATCH(B8,$O$4:$O$19,0)),"","1")
which lets me know whether the asset within the list is held in the portfolio.
So my inquiry now, is basically that I would like the list on left to have its row colored, whenever the asset is held in the portfolio, thus whenever there is a "1" in column "A", then that particular row should be colored. I have naturally played around with the conditional formatting, but cant seem to get it to work. Dont know if it is due to the fact that it is a pivot table vs. the function in column "A"???
Thanks,
Psb
Please make sure that your range does't have '$'before the range column and row numbers. '$' refers to static values. So in my below screen, '$A4' indicates to Static column which is A and dynamic row number. Similarly the area on which rule has to be applied is dynamic, which refers from 'B4:G23' cells, so whenever A4 =1 then 'B4:G4' will highlight. similarly A5=1 then B5:G5...
PS:Please note i didn't apply the rule on any pivot table but just on a normal range. The same thing should hold good for pivot table also.

What I would like to achieve is that sellers can choose the STORE in the blue cell (either with a drop down list or by hard-typing the STORE name) and, based on the selection on the blue cell, the available POSITIONS for that particular PRODUCT and that particular STORE are show in the green cell as a drop down list.
Let's say I have an Excel workbook, which contains a worksheet with this table with products data, which is automatically imported daily from our Nav server with this layout. It has 4 columns including PRODUCT CODE, DESCRIPTION, STORE IN WHICH IT CAN BE LOCATED and POSITION INSIDE DE STORE (please, check screenshot). It contains 1.5k rows and it changes dynamically, for example, new items are added or positions are exchanged.
As you can see, the same product (PRODUCT 2) can be located in several stores (STORES 1, 2 and 3), and it can be in several locations on each store (POSITIONS 2, 3, 1 and 4).
Now I need sellers to report which of these items they pick and from where, not only the STORE but its POSITION inside the store too. They do it with another worksheet inside the same Excel workbook. It looks more or less like this (please, check screenshot).
I know the drop down list is achieved via Data Validation but I can't figure out the formula for this. I have tried several approaches like:
Array formula to return all POSITIONS in the same ROW, following this (Formula 2.): https://www.ablebits.com/office-addins-blog/2017/02/22/vlookup-multiple-values-excel/. It is quite slow to calculate on the 1.5k items and, once done, I can't figure out how to make Data Validation to look for the 4 or 5 or 10 POSITIONS returned by the array formula, which also need to be filtered by STORE (please, check screenshot for the closest that I have been, array formula returning POSITIONS from column E).
Same formula as above directly on the Data Validation list box, which returns only the first POSITION found.
VBA custom fucntions which are not allowed in the Data Validation box.
I feel comfortable with both Power Query and VBA, and forumla as well, and can adapt most of the code I see but I don't know why I just can't figure out how to achieve this, maybe it is only I am blocked or something but every path I start to follow ends up in a dead end.
Does anyone have an idea on how to approach this? It doesn't really seem that complicated but it is becoming impossible for me.
Thank you very much for your time!!
This is what I have finally done, just in case someone else is facing this situation.
Instead of a plain-text table for the POSITIONS, I created a PowerQuery importing that CSV. Named that worksheet _LOCATIONS.
Added a custom column (Column E) combining the PRODUCT and the STORE so I had something like a Unique Identificator, resulting something like this but in PowerQuery.
Combined column:
Sorted column E and sub-sorted column D, so I make sure the list will always be ordered as I need, and saved the query.
Then, in worksheet REPORT, I entered this formula to create the drop down list in Data Validation in cell D2:
OFFSET(_LOCATIONS!$D$1,MATCH($A2&"-"&$C2,_LOCATIONS!$E:$E,0)-1,0,COUNTIF(_LOCATIONS!$E:$E,$A2&"-"&$C2))
And I am able to choose from the available POSITIONS for the selected PRODUCT in the selected STORE.
Brief explanation:
I set the reference for the OFFSET function in the very first POSITION (D1), and then I move it the amount of rows detected by the MATCH function (which searches for the "PRODUCT 2-STORE 2" string in the newly created combined column) minus 1 (PoweryQuery table has headers) and 0 columns. This leaves me on the first occurrence of my string (but on the POSITIONS column). Then I make the offset as high as the amount of rows detected by the COUNTIF function (which counts all occurrences of my PRODUCT-STORE pair), returning an array of all the positions (column D) matching the PRODUCT-STORE pair.
Ask for formula in Spanish if you need it.
Is there a way in excel to copy the contents of one column to another sheet based on particular values in another column.
I have data which looks like this:
Sheet1:
Sheet2:
I would like to copy the column A of sheet 1 directly onto column A of sheet 2, but only if the value in column B is Y.
I have tried used the match function but am not sure how the best way to do this would be. Is there a way for me to achieve this?
My desired output is:
As discussed in the comments, #Waldorf99 was looking to have a second worksheet that would automatically show a filtered list from the first sheet. I can think of a few ways to do this (array formulas or pivot tables come to mind). The problem with mixing dynamic columns with static values is that the static values would become desynced from the dynamic ones.
In the original example, rows may have a blank value in the condition column in sheet one, and then may be assigned a Y or N at a later date. If a Y is assigned to a row in the middle of other rows, the filtered sheet would shift the existing rows down to make room. The static values would stay where they were, and would become desynced. To demonstrate:
If the above image is the original state of sheet 1 and 2...
...adding a y next to x.1.c would result in sheet two shifting columns A and B of row 2 down, but leaves columns C and D behind (as they are static, and not tied into the first two columns in any way).
One thing that may work as you are wanting are filters. You would only have one sheet, with all of the data manually entered. Then you can add filters, and change them to hide rows temporarily when needed.
To add and use filters:
Start with your data all on one sheet...
Highlight your data...
On the Home tab, select "Format as Table" and choose any style...
This turns your data into a table. You can filter by clicking the drop down in a given columns header row, then deselecting the values you want to hide.
The results are a table that only shows the rows with a 'Y'.
The other rows aren't removed, just hidden. You can always reset or change your filters, to configure which rows are visible.
Note: when working with tables, they will auto expand to account for new rows, so long as you work in the row directly under the table (e.g. don't leave blank rows). You can also manually resize the table at any time by clicking and dragging from the bottom right corner of the table.
There are tons of resources of Excel tables online, and it's a pretty useful tool in Excel.
Hope that achieves what you were looking for.
I am looking to return the intersection of a given row and column in an Excel table, where the sort/filter of the table will be changed.
I have found lots of resources on how to do a two way lookup in a static Excel 2D array/table that will never change order, but I am running into trouble trying to reference these intersections of a given row and column in a table that will be filtered and sorted by users. Filters and sorts are changing the cells' locations, breaking my references.
Ideally, the solution should look something like this:
=INDEX(TABLE,MATCH("PRODUCT",A:A,0),MATCH("COMPANY",$1:$1,0))
or, something like this,
=TABLE[[#Data],[PRODUCT] TABLE[[#All],[COMPANY]]
My environment is a table where the left most column is a list of products, and the top most row are column headers listing company names. The cell values at the intersection are quantities of products per company.
Thank you for any help, in advance!!
EDIT: Here's a visual example,
PRODUCTS COMPANY A COMPANY B
PRODUCT #1 1 2
PRODUCT #2 3 1
Referencing "COMPANY B", "PRODUCT #1" would return 2-- what's key is that the reference isn't broken by the table being filtered or sorted.
The first formula works, if made to select adjacent cell.
=INDEX(TABLE,MATCH("PRODUCT",A:A,0)-1,MATCH("COMPANY",$1:$1,0))
Revisiting later, it was selecting cell underneath the intended. Weird. Not positive why, but seems no one really took a look here. Folks at /r/Excel understood, though without any ideas as to why it picks cell below intended.
I am using excel sheet and i have data column as shown below:
As we can see that some of the names are duplicate or appeared twice. My question is how can count unique name records or rows associated with each name for summary column.
Out put i am looking for is shown below:
Not sure which formula to use as count is counting all of that data i.e. '7' in this case. How can i use count or any other function to count unique records as shown above?
You can do what you're after with a pivot table.
Click the Insert tab then select "Recommended Pivot Tables".
A window will open up prompting you to select the data range. I recommend using a named range for your list and referencing that, but you can just highlight the list directly if you want.
Once the data range is selected, click "Ok" and new window will open with exactly what you want. A unique values list and a "Count of Column1". It is the default of the recommended pivot tables.
I outlined this because it's easy and fast, but it's important to understand you can make this pivot table yourself from scratch if you learn about pivot tables in general. Pivot tables are often overlooked in Excel as an option.
Lastly, you could get really advanced with Excel Power Queries. Just Google "Excel Power query" and you will be shown all kinds of information on them. They are a close second place in power to manipulate Excel data short of using VBA.
Good luck!
CountA(Unique(D2:D8,,False)) = 5 [Count(Unique(D2:D8)) is the same as False is the default.]
CountA(Unique(D2:D8,,True)) = 3 (once and only once)
Note: the Unique function was released in late 2019 to Office 365. So if you want to use this check your version, not present in 1908, present in 2006.
Edit: It's actually in 2002, I just updated my 1908 machine.

If names duplicates are removed the following formula can be used: =COUNTIF(B:B,F2)
If duplicates must be removed by formula, MATCH (searches for a specified item in a range of cells, and then returns the relative position of that item in the range.) and SMALL (Returns the k-th smallest value in a data set.) functions can be used as shown.
C$1048576 is used to reference last row number for a big list case.
formulas:
Column A, names sequence
Colunm B, names
Column C, formula =MATCH(B2,B:B,0)
Column D, formula =IF(COUNTIF(C2:$C$1048576,C2)=1,C2,"")
Column E, formula =SMALL(D:D,A2)
Column F, formula =VLOOKUP(E2,A:B,2,0)
Column G, formula =COUNTIF(B:B,F2)
For anyone like me without O265's lovely Unique & Filter Functions, and who doesnt want to use a pivot table, and there are many ways to do this, but this i have just done this in normal excel.
List of data in Column H, Formula in column O3. Drag down. Highlights your distinct and unique values from H.
=IF(COUNTIF(H:H,H28)=1,"U - "&COUNTIF(H:H,H28),IF(COUNTIF(H$1:H27,H28)=1,"U - "&COUNTIF(H:H,H28),"-"))
Formula is short. You can just do this and drag down. Apply the same principal to your worksheet data wherever it is.
=IF(COUNTIF(H:H,H3)=1,"U",IF(COUNTIF(H$1:H2,H3)=1,"U","-"))
Similarly, you can just use this formula here (credit goes to this source for this one):
=(COUNTIF($H$1:$H1,$H1)=1)+0
Id like to point out that the above formula is a better formula than mine. It highlights with a "1" (or with a tweak, the value of your choice) the first time any value is seen/spotted on any given list, whether duplicate or unique.
Whereas mine is a bit "more random" when picking up the "unique and distict" values.
Mine gets there in the end, but Extend Office's gets there first, as I think is proper (getting the first time a unqique distict value is spotted/occurs.).
Formula in K5 =IF((COUNTIF($H$5:$H5,$H5)=1)+0=1,"UNIQUE DIST","") and drag down...
You could append/add a normal basic countif after the results to show how many actual times the given value appears if you wanted. :
=IF((COUNTIF($H$5:$H5,$H5)=1)+0=1,"UNIQUE DIST","")&" - "&COUNTIF(H:H,H5)
I am trying to condense data in a specific way. I want any occurrences of the number 1 in each column to show up as 1 (regardless of how many times it occurs) with the corresponding site, in the corresponding column. Some sites occur multiple times in the original data, and I want to make it so that only one of each unique site shows up in the resulting data table with a 1 for the corresponding column if there any 1's in the column from the original data.
I would think it would be a vlookup function, but I have tried many different things and I am really stuck on this.

Thank you
This assumes that your data set only contains 1 or blank and this approach uses a Pivot Table with MAX function. Below are details in case anyone doesn't know Pivot Tables.
Select a cell in your data and insert Pivot Table. Note, I added a title for column A, as you need that in the Pivot Table.
Click in the created Pivot Table and the PivotTable Fields dialog should pop up. If not, right click in Pivot Table and select Show Field List.
Drag the Field names (Code, a, b,& c) down to the appropriate blocks below. (Values under Columns will be created for you.)
Click on the drop down arrow next to each field name and select Max. That will rename it to "Max of ...". If that bothers you, then you can type the name you want into the Custom Name field. Note, it will not let you type the same name as the field name, eg a, but it will work if you put a space in front of it.
Given that the Pivot Table would be a lot of work for a large number of columns, here is a formula based approach. Put this formula in cell G2, then drag it down and across to fill your new table.
Note, you will have to populate all codes that you have in column F. And if any new codes are added later you will have to keep this updated. One of the advantages of a Pivot Table is that it will do this for you.
I know that you won't be putting this in these cells, so adjust accordingly. In fact, I would recommend this be in another sheet.
=IF(COUNTIFS($A:$A,$F2,B:B,1)>0,1,0)
COUNTIFS($A:$A,$F2,B:B,1)
This will count each occurrence when the value in column A matches your code $F2 AND the value in column B equals 1.
If that count is >0, then you know that at least one match was found and the IF will return 1, otherwise 0.
