I have a question on Taxonomy Update Scheduler.
Here is the scenario.
I have custom list which is using Managed Metadata field in the list(This list is attached with Itemupdating event to send email notification)
First we created few items with this manamged metadata values and save the items. After some time we updated term store names which were used in the list items. Then ran Taxonomy Update Scheduler timer job from sharepoint central admin and once the timer job ran sucessfully the custom list items were reflecting the changes.
But after item got updated event is not triggering in custom list which supposed to send the mail notification. Is the sharepoint is not supporting this behavior?
Can anyone please guide me on this issue.
Regards
Anand
No event is raised when Taxonomy data is changed. Managed Metadata field is an Enhanced Lookup field type so the content of field doesn't change when timer runs. In detail the Managed Metadata field contain a reference (ID) of an item (Term) that Sharepoint automatically add to /Lists/TaxonomyHiddenList in the SiteCollection root. I suppose that the Metadata Timer job modify that hidden list items instead.

I would like to trigger an email when a new Time entry is created in Netsuite. Usually this can be easily accomplished through a Saved Search/Email but for Time searches, sending on Create is not available and already the topic of an enhancement request.
I've created a Workflow which will trigger upon Time entry create. In order to use the time entry fields I first created Workflow Fields and then in State 1 populate those workflow fields with the values. Suiteanswers: Use SQL expressions in Send Email action via the Workflow Manager (ID: 21669)
I can map many of the fields like Customer:Project, Service Item from the Time entry into my Workflow. I am stuck on mapping the Netsuite Duration field which according to the Records Browser is of a type "timetrack" ie 1:05.
I have tried it from the available field types, Date, Date/Time, Integer. I'm now trying to populate is into a Text field but am stuck as to how to convert it from the timetrack record type into Text.
Have tried
TO_CHAR({hours})
CAST({hours} AS text)
I just want a field with the Duration that I can use in an email. :)
How could I achieve this affect? Any thoughts appreciated.
Turns out that somewhere along the track I over-complicated what was needed. In the end I just inserted {hours} into my email text box and it worked. I can't explain why it didn't work initially.
Working with a SP list, have a standard approval workflow that kicks off when an item on the list is updated. I have it set to send the alerting email and have my custom message
Is there any way to have the email contain the fields that were updated (as in field x was value A and was updated to value B)?
Can't be done with standard workflow (or even with workflows at all). More suitable would be using SPEventReceiver.ItemUpdating to check what fields have their values changed, and send summary email from there.
Or, you can always turn on versioning (only major) and create custom activity used in workflow, that could extract required information from previous version of item (i'm not aware of any such OOTB functionality availble)
I have an initial workflow in Sharepoint Designer that triggers whenever an item is created and also whenever an item has changed in the 'Employee' list .
Within second workflow I am updating the 'Employee' list and the workflow above is triggered.
Is there any way I can check in the intial workflow if the item has been updated by a user or if it was updated by a workflow. In the case if the item was updated by a workflow I would not want to trgigger it.
Many Thanks,
Through SharePoint Designer, you cannot cause an update to an item to not trigger workflows that are listening for it. But, you can cause the workflow to basically be skipped with one extra Step.
Try checking out this article at Microsoft Office, which discusses secondary workflow interactions in SharePoint Designer. In the first step, it identifies whether an item was created by a specific workflow, and cancels the workflow if it isn't. We just need to adapt this - if we successfully identify the item as being modified by your secondary workflow, then we want to cut off the first workflow.
You need to create a new Step in your initial workflow, and move it to the top. In it, choose the Compare Tasks Condition. In that condition, set field to be "Workflow Name", leave the operation as "equals", and set value to be the name of your secondary workflow. Then, add a Stop Workflow Action, specifying some appropriate workflow history message to indicate that the workflow was triggered by the secondary workflow so it was terminated.
The issue is that everytime an item is edited/changed all the users who are set up to receive updates are notified. I need the workflow to run only when a specific field is changed disregarding the others. For example if my item contains these values (Customer Name; Acc#; Contact Person; Address;) - I need the workflow to work only when the Acc# is changed and only if it is changed, no metter how many times the other fields are changed.
Thanks,
A quick way to do it is to have the workflow store the value each time the it starts, then tell it to wait until the field != the stored value. This may not work in all cases, but it could be enough for your purposes.
You should create an event handler to run on your content type or library. You can then check the before and after properties of the fields you mention. Then use the event handler to initiate the workflow if required.
I'm working on a SharePoint publishing site and I want to "log" all the changes made by users in a SharePoint list.
Some searches on the web guided me to the EventReceiver.
But my EventReceiver must be generic and attached to all lists in the site collection. The "log list" has several columns like the name of the list in which the event occurred, the name of the modified item, its old value and its new value.
Can someone guides me on how to achieve this?
There's already a provided answer for you on StackOverflow, hurrayy!!
It sounds possible. Create a class that inherits from SPItemEventReceiver and override ItemUpdating. You can use the following code to get the list:
using (SPWeb web = properties.OpenWeb())
{
SPList list = web.Lists[properties.ListId];
}
You can then use list to grab the list's title and URL. Next, compare each DictionaryEntry entry in properties.AfterProperties to the corresponding value in properties.ListItem to get your differences. Then save it to your log list. The trick would be automatically attaching your Event Receiver to each newly created list. Perhaps a timer job would work.
That said...
Before trying any of that, go to your site collection's Site Settings. Under Site Collection Administration, click Site collection audit settings. Under Specify the Document and Item events to audit, check Editing items. Only go with a custom solution if that does not give you what you need.
Would Version history not achieve the same functionality?
You can see what fields were changed by who and when. Though you would have to look at a list by list basis.
You can also access the version history information via the object model if you want to generate reports web part.
Otherwise using Janis Veinbergs link on how to attach a event handler to all lists and Rich Bennema method of getting the values from the updated item in a generic way, though I would use ItemUpdated as you don’t want to change the data that was updated only copy it to another location so there is no need to catch the data before it is submitted to the SharePoint database
