I would like to sum up date periods and sum the days per item.
The input data will grow over time and new item categories can appear, so the items (number of rows) that show in the expected report can not be "hardcoded".
The input parameter is the from and to date that determines the period that must be considered. You can imagine this as a moving date window on the input data grid.
I am a Java programmer and I am sure that I can write a proper SQL that groups and sums the data and generate the result. And I can write a Java program too, that does the job, but I really want to do this calculation from Excel.
Is there any way to generate the report by using only a combination of existing MS Excel formulas without writing any Visual Basic code (macro)?
If yes, then could you please put me in the right direction and tell me which formulas I can use? Then I can figure out how to use the formulas.
I hope that this helps to understand better what I would like to have:
Try:
Formula in F3:
=SUM(COUNTIFS(C:C,E3,A:A,"<="&SEQUENCE(H$2-F$2,,F$2),B:B,">="&SEQUENCE(H$2-F$2,,F$2)))
Note that range references that take whole columns will take long to process all data. The above will work even with overlapping dates.
is there anything i can do to further improve performance of this formula ?
=IF($A3<>"",IF(Jan!$E6<>"",LET(d_patt,IF(Jan!$E6<>"",VLOOKUP(Jan!$E6,SETTINGS!$A$12:$B$27,2,FALSE)&IF(Jan!$B6<>"",Jan!$B6,0)&IF(Jan!$C6<>"",Jan!$C6,0)&IF(Jan!$D6<>"",Jan!$D6,0),""),"ROT"&IF(LEN(Teams!$BHR4)>0,MID(Teams!$BHR4,MOD(NETWORKDAYS.INTL(Teams!$C4,I$2,"0000000")-1,LEN(Teams!$BHR4)/3)*3+1,3),"000")&IF(LEFT(d_patt,3)="OVT",d_patt,"OVT000")&IF(LEFT(d_patt,3)="SSI",d_patt,"SSI000")&IF(LEFT(d_patt,3)="SSO",d_patt,"SSO000")&IF(LEFT(d_patt,3)="SDS",d_patt,"SDS000")&IF(LEFT(d_patt,3)="HOL",d_patt,"HOL000")&IF(LEFT(d_patt,3)="LID",d_patt,"LID000")&IF(LEFT(d_patt,3)="UNP",d_patt,"UNP000")&IF(LEFT(d_patt,3)="FLD",d_patt,"FLD000")&IF(LEFT(d_patt,3)="MAT",d_patt,"MAT000")&IF(LEFT(d_patt,3)="LIS",d_patt,"LIS000")&IF(LEFT(d_patt,3)="CBR",d_patt,"CBR000")&IF(LEFT(d_patt,3)="ABS",d_patt,"ABS000")),"ROT"&IF(LEN(Teams!$BHR4)>0,MID(Teams!$BHR4,MOD(NETWORKDAYS.INTL(Teams!$C4,I$2,"0000000")-1,LEN(Teams!$BHR4)/3)*3+1,3),"000")&"OVT000SSI000SSO000SDS000HOL000LID000UNP000FLD000MAT000LIS000CBR000ABS000"),"")
i have this on a sheet for each day of the year x 400 people so 146k+ times. this is therefor taken up 80% of the sheet load time.
The sheet basically gets shift patters from Teams, check if there is any holidays, overtime etc from the relevant month tab and relevant cell for the day, and then will generate a code like below.
ROT080OVT000SSI000SSO000SDS234HOL000LID000UNP000FLD000MAT000LIS000CBR000ABS000
i have so far managed to make this faster by using the LET function, but not show if its possible to make any further improvements.
if you need an example file i can send this or upload somewhere, not sure if that is possible via stackoverflow or a preferred site to upload to.
Thanks
The following is a shortened version of your formula to reduce the complexity of computations.
Instead of building the 'OVT000SSI000...' string one piece after another while always checking if the first 3 characters of 'd_patt' match the current piece, we can set the whole string with '000's as default and only replace the section that matches 'd_patt' (see highlighted elements in screenshot below)
Which results in the full formula:
=IF(LEN($A3)>0,"ROT"&IF(LEN(Teams!$BHR4)>0,MID(Teams!$BHR4,MOD(NETWORKDAYS.INTL(Teams!$C4,I$2,"0000000")-1,LEN(Teams!$BHR4)/3)*3+1,3),"000")&LET(default,"OVT000SSI000SSO000SDS000HOL000LID000UNP000FLD000MAT000LIS000CBR000ABS000",d_patt,VLOOKUP(Jan!$E6,SETTINGS!$A$12:$B$27,2,FALSE)&IF(LEN(Jan!$B6)>0,Jan!$B6,0)&IF(LEN(Jan!$C6)>0,Jan!$C6,0)&IF(LEN(Jan!$D6)>0,Jan!$D6,0),IF(LEN(d_patt)>0,REPLACE(default,SEARCH(LEFT(d_patt,3),default),6,d_patt),default)),“”)
If $B6, $C6 and $D6 can only be either empty or a numerical number, in other words, if they are never a letter or special character, the 'd_patt' function can be further shortened as follows:
Which results in the full formula:
=IF(LEN($A3)>0,"ROT"&IF(LEN(Teams!$BHR4)>0,MID(Teams!$BHR4,MOD(NETWORKDAYS.INTL(Teams!$C4,I$2,"0000000")-1,LEN(Teams!$BHR4)/3)*3+1,3),"000")&LET(default,"OVT000SSI000SSO000SDS000HOL000LID000UNP000FLD000MAT000LIS000CBR000ABS000",d_patt,VLOOKUP(Jan!$E6,SETTINGS!$A$12:$B$27,2,FALSE)&(Jan!$B6+0)&(Jan!$C6+0)&(Jan!$D6+0),IF(LEN(d_patt)>0,REPLACE(default,SEARCH(LEFT(d_patt,3),default),6,d_patt),default)),“”)
I am really struggling with excel, if this is easy then I apologize, but I'm very new to using excel so clear instructions would be really helpful.
The task I'm trying to achieve is creating a spreadsheet to track the dates of some safety checks on equipment.
I have columns for the equipment name (which doesn't change), and the name of the person who checked it, which needs to be filled manually, I am trying to use a formula to automatically input the date of check (the current date) and the date the next check is needed (3, 6, or 12 months from the current date depending on the piece of equipment in question). I have tried using the TODAY() function, and TODAY()+X(number of days), but these change every day which is not what I want, is there any way to have excel automatically calculate and fill these dates, but then not change them until a particular cell (i.e. name of person who checked) is updated?
I know about setting calculation to manual, but that stops calculations even when new data is entered, I need to be able to update the sheet, and have existing dates remain unchanged (hoping that makes sense).
And again, very new to excel, so please make answers as easy to follow as possible.
Any help would be greatly appreciated, all the best.

Creating a Custom Function to Insert Timestamp
So what's happening. I have a planned lot number and production lot number
In K5 I have the planned lot number as F31807010902
The production lot number FRD 03201807010902 is on another sheet with all the production lot numbers called Prod Time.
What I am to trying to do a wildcard search so that F31807010902 turns into *1807010902 and search for that in the 'Prod Time Sheet' so I can pull the corresponding date.
The 'Prod Time' sheet is layed out as
Prod Date-----Run Time-----Prod Lot#-----Qty
Solution 1 Tried
=INDEX('Prod Time'!A4:D4000,MATCH("*"&MID(K5,3,10),'Prod Time'!A4:D4000&"",0))
Solution 2 Tried
=VLOOKUP("*"&MID(K5,3,10),CHOOSE({1,2},'Prod Time'!A4:4000,'Prod Time'!A4:D4000),1,0)
Is there something wrong with my arguments or do I have to take a completely different approach?
Match only wants a single column or a single row, not a two dimensional range. Use the range in which you want to search the value.
=INDEX('Prod Time'!A4:A4000,MATCH("*"&MID(K5,3,10),'Prod Time'!C4:C4000&"",0))
And this is an array formula meaning it needs to be confirmed with Ctrl-Shift-Enter instead of Enter when exiting Edit mode
Is there anyway to rewrite this formula to speed up Excel processing?
My spreadsheet has become terribly slow!
=SUMPRODUCT((Sheet1!J:J=Sheet2!A2)*(Sheet1!G:G="Windows XP")*(Sheet1!B:B="Desktop")*(Sheet1!M:M<>"Refresh >=Q2 2014")*(Sheet1!M:M<>"Release 2013")*(Sheet1!M:M<>"Release 2014")*(Sheet1!M:M<>"N/A NVM")*(Sheet1!M:M="No")*(Sheet1!M:M="N/A"))
As written your formula will always return zero because the last two conditions are mutually exclusive - did you mean those last two to be <> rather than = (or did you refer to the wrong columns)?
In any case I can see from the use of whole columns that you must be using Excel 2007 or later (your current formula would give an error otherwise) in which case COUNTIFS will be much faster, i.e. assuming the last two conditions should be adjusted as I suggested try this version:
=COUNTIFS(Sheet1!J:J,Sheet2!A2,Sheet1!G:G,"Windows XP",Sheet1!B:B,"Desktop",Sheet1!M:M,"<>Refresh >=Q2 2014",Sheet1!M:M,"<>Release 2013",Sheet1!M:M,"<>Release 2014",Sheet1!M:M,"<>N/A NVM",Sheet1!M:M,"<>No",Sheet1!M:M,"<>N/A")
If you do need to use SUMPRODUCT then restrict the ranges rather than using whole columns
I don't think that there is really a chance to speed up Excel Formula. But you could save your File in binary code (.xlsb). Losing some compatibility but improving performance.
You also could stop auto (re-)calculations of ther Formula, then you have to manualy refresh. This will let you edit the file much smoother.
